Use these guides when the job matters more than remembering which screen owns each part of it.
Set up a new Indietory workspace
Section titled “Set up a new Indietory workspace”- Review Business Profile and Profile.
- Create the Items needed for your first real work.
- Create real storage Locations.
- Create the Vendors needed for purchasing or receiving.
- Create Customers only if they are useful for sales.
- Add opening inventory through Add Inventory.
- Invite teammates after reviewing Roles.
Keep setup practical. Five accurate Items used in a real workflow are more useful than modeling every possible record before anyone has used the system.
Receive inventory manually
Section titled “Receive inventory manually”- Confirm the Item, Vendor, and Location records you need exist.
- Open Inventory → Add Inventory and start a Manual Receipt.
- Select the Item, enter quantity and Unit Cost, and complete Lot/Container detail required by tracking.
- Select Vendor relationships and the applicable Location.
- Save, print labels if useful, then confirm the stock in View Inventory.
If the receipt is wrong and its inventory has no protected downstream history, use the receipt’s Void action. Otherwise correct current stock through Adjust Inventory.
Purchase and receive materials
Section titled “Purchase and receive materials”- Create/select the Vendor and confirm each Item exists.
- Create a Purchase Order with Item quantities and expected pricing.
- When stock arrives, open Purchase Receipts and select the order.
- Record what actually arrived, required Lot/Container information, shared costs, and Locations.
- Save, print labels, then review the updated PO and View Inventory.
For a partial shipment, receive only what arrived and create another Purchase Receipt for the remainder.
Produce a Batch
Section titled “Produce a Batch”- Confirm output and material Items exist.
- Create Batch Production Instructions with material and instruction steps; release the revision.
- Create a Production Order, enter Planned Output, and reserve valid inventory.
- In Produce Inventory, record actual source inventory and quantity for every Add Material step and complete instruction steps.
- Record finished output and its required Location; print labels where useful.
- Complete the order and review output in View Inventory and events in Inventory History.
Assemble finished units
Section titled “Assemble finished units”- Define the finished Item and its component Items.
- Create and release Assembly Production Instructions.
- Create a Production Order for the planned unit count and reserve inputs.
- In Produce Inventory, record actual components, complete steps, and record tracked output.
- Assign the required Location, print labels if useful, complete the order, and review finished inventory.
Batch and Assembly screens can differ, but both preserve the same plan, reservation, actual-use, output, and history chain.
Move inventory using QR labels
Section titled “Move inventory using QR labels”- Confirm the destination Location exists and has a readable QR label if scanning it.
- Open Move Inventory and scan or select the inventory.
- Scan or select the destination Location, review, and confirm.
- Confirm current Location in View Inventory; use Inventory History to review the event.
If the quantity is wrong, use Adjust Inventory instead. Movement does not correct quantity.
Correct an inventory quantity
Section titled “Correct an inventory quantity”- Open Adjust Inventory and select the inventory.
- Choose Add / Subtract Quantity when you know the difference, or Set Quantity when you know the correct final amount.
- Enter the amount and supporting notes where prompted, review, and save.
- Confirm current stock in View Inventory and review the correction in Inventory History.
Split a Container
Section titled “Split a Container”- Open Adjust Inventory and choose Split Container.
- Select the source Container and enter the quantity being separated.
- Review the source remainder, choose the required Location for the new Container, and save.
- Print and physically apply the new Container label, then confirm both Containers in View Inventory.
Do not create a Manual Receipt to represent a physical split. A split preserves the relationship to the original inventory.
Record a Quick Sale
Section titled “Record a Quick Sale”- Open Sales → Quick Sales and start a sale.
- Select a Customer if useful, otherwise leave it empty.
- Add sale inventory by scanning or manual selection, enter quantities and sale prices, and review the sale total.
- Save the sale, then use your normal external payment process.
- Reopen the saved sale to review its realized COGS, Gross Profit, and Gross Margin when useful.
Investigate an inventory change
Section titled “Investigate an inventory change”- Find the record in View Inventory and confirm the correct Item/Lot/Container.
- Review current quantity, Location, status, and source.
- Open Inventory History and locate the most relevant receipt, movement, adjustment, production action, sale, or reversal.
- Use Audit Log if you need the broader user/application action.
- Correct the current record through the proper Module rather than rewriting old history.
Review and update a Lot
Section titled “Review and update a Lot”- Open Quality → Lots, search by Lot Code, Item, or Manufacturer Lot Code, and open the record.
- Review Manufacturer, Supplier, Manufacturer Lot Code, status, Retest Date, Expiry Date, and Final Use By Date.
- Save any supported updates that accurately describe the real Lot.
- Use View Inventory for current stock and Inventory History for the event chain.
Indietory Lot Code and Item identity are historical fields, not fields for turning an existing Lot into another one.
Add a team member and control access
Section titled “Add a team member and control access”- Open Settings → Roles and review existing Roles.
- Create or clone a Custom Role if needed, set module levels, and save.
- Open Settings → Users, invite the person using their own email, and assign the Role.
- Confirm plan capacity and have the person verify that needed Modules are visible after signing in.
Use Write for ordinary working access. Editing a Role changes access for every User assigned to it.
Print and use QR labels
Section titled “Print and use QR labels”Inventory labels
Section titled “Inventory labels”Print a label created for a supported Lot or Container during receiving/production, or reprint it later from inventory detail. Reprint a lost label; do not create duplicate inventory.
Location labels
Section titled “Location labels”Create the Location first and print its QR label from Locations. Place it where people can scan while moving inventory into the Location.
Scanning
Section titled “Scanning”- On mobile, allow camera permission when prompted.
- On desktop, focus the scan control before using compatible hardware.
- If scanning fails, search/select manually and troubleshoot the label later.
